Hull IT Company Lends Its Support to Local Charity Hull 4 Heroes, Expanding Aid to Veterans

Hull-based charity, Hull 4 Heroes, transform their internal processes with SharePoint implementation, thanks to support from local IT company HBP Systems.

Hull 4 Heroes is a charitable organisation, supporting veterans who return from service and face a lack of support. The charity aims to ensure that their transition back into civilian life and regular employment is as seamless as possible. Their growing network of support creates homes, provides education and sources employment for veterans.

When Account Director, Tom Eaton, former Lance Corporal in the Royal Signals, who served in the armed forces for over 6 years before joining HBP Systems in 2017, heard that Hull 4 Heroes founder, Paul Matson, required IT support, he was quick to act on behalf of the business to get something in place.

Tom’s extensive knowledge of IT systems and solutions began when he joined the Royal Signals in 2007, his time in the military saw Tom deploy to Afghanistan in 2011, where he served as part of the Projects Team in HICSSS. He was responsible for managing existing equipment, as well as new installations with no two days being the same: from configuring and installing up to 100 laptops one day, to 800m fibre installations through damaged or flooded pits and ducts. However, after leaving the service, Tom sadly found that support for veterans was minimal.

Tom commented:

“When I left the military, there was one person assigned to support service leavers across the North of the UK. After many attempts to arrange a meeting, I gave up and essentially had to find my own way.

He continued:

“This is why Hull 4 Heroes is so important to me, as they are providing the support needed, to prevent serving Armed Forces personnel, veterans and their families from suffering in silence.”

To reach as many veterans in need as they can, Hull 4 Heroes need to be able to connect with their colleagues and volunteers but were relying on Microsoft Teams to communicate and share files between two members at a time. With locally saved files and a reliance on USBs for the transfer of data, it meant that data wasn’t accessible and required timely, inefficient processes to share data internally.

Following a detailed discovery session with HBP Systems, Paul revealed a number of different areas which needed to be simplified. Now live with their new SharePoint system, Hull 4 Heroes enjoy automated expense management, modernised booking processes linked to their teams’ diaries, proper file structure with secure permissions, and much more. Once the HBP Systems team managed the physical devices and domain, they provided one-on-one training to employees on how to access and use their new SharePoint from any device with an internet connection.

Paul Matson, Hull 4 Heroes founder, says:

“This system has quite simply transformed the way that we work, it’s allowed us to focus on what matters which is helping and supporting Veterans. Every single person that we have worked with at HBP has been brilliant, they’ve helped us speed up everyday processes and they are just a phone call away if we ever have any questions. We cannot thank HBP enough for supporting us with everything they have done, they really are second-to-none.”

The new system is going to be key for Hull 4 Heroes in future-proofing the charity and allowing them to reach and support more veterans.

Tom says:

“The implementation of their new SharePoint is going to be so important for Hull 4 Heroes when it comes to reducing time-consuming processes and giving their employees much needed access to systems and data to support veterans, particularly whilst they’re on-the-go.”

Our Amazing Team Complete The Yorkshire Three Peaks Again!

Following from our completion of The Yorkshire Three Peaks Challenge in 2019 our team once again tackled one of the toughtest endurance tests around on 20th August 2022.

After two years of delays and cancellations, we finally got the chance to raise money as part of The HBP Group’s charity fundraising activity which is currently supporting Bliss and WISHH.

In 2019 we suffered some of the harshest conditions possible and were hoping for much better weather this time around. Although the rain didn’t stay away entirely, conditions we signifacntly better and the team completed the challenge in under 12 hours.

First Peak Conquered!

Completing the route in the opposite direction as we had done in 2019, our first stop was the summit of Ingleborough.

Ingleborough is the second highest mountain in the Yorkshire Dales, standing at 2,372ft.

Second Peak Completed!

Our second stop of the challenge was Whernside, the highest point in North Yorkshire.

Whernside stands at 2,415ft and is 6 miles north of Ingleton, which was the first summit reached in the challenge.

After reaching the summit of the final peak in the challenge, Pen-y-ghent, the team reached the place where the challenge had started in under 12 hours.

The Yorkshire Three Peaks is one of the hardest walking challenges anyone can take on so we’re incredibly proud of the whole team, both for their endurance and the money they’ve raised.

We are delighted to announce that we have been nominated for two awards at the upcoming Northern Lincolnshire Business Awards.

Our Nominations

We have been nominated in The Grimsby Institute Training Excellence award as recognition of our commitment to staff training and development and join Sylvester Keal and JemBuild in the final three.

We were also lucky enough to make the final three in The North Lincolnshire Business Investment Award alongside Rapid Travel Group and Know Media. This award recognises our support of the local supply chain as well as the employment opportunities we have created in the local area.

On top of this we are delighted to be sponsoring the Business Growth Award at the Northern Lincolnshire Business Awards where Know Film, JemBuild and Lindsey Lodge Hospice make up the three finalists.

We will reveal the winner of our award as well as finding out the winners in all other categories at a Queen’s Jubilee themed awards presentation at Grimsby Auditorium on Friday 13th May 2022. Improved IT Support With The Launch of Our New Tech Fix and Tech How Teams

Here at The HBP Group, we are always striving to improve our offering and continually work to give the best possible customer service that we can.

To assist with that, we are delighted to announce the launch of our new Tech How team and the re-naming of the servicedesk to the Tech Fix team.

These two teams are made up of the same IT Support Engineers who you already know and deal with, but to help resolve issues even faster and better than ever before we have created two sub-teams which will focus on two specific areas of IT support tickets.

What do the Tech How team do?

This dedicated team will be focused on those day-to-day administrative tickets that you need dealing with quickly. Things like a password change, a new user set-up or perhaps the creation of a new email address.

On top of that, the Tech How team are building a new library of resources for you to use on those occassions when you think “how do I do that?” With videos being posted to YouTube and shared through our helpdesk, you’ll have the answers to those very types of questions.

Your requests will be picked-up quicker and you’ll be given guides and advice to help you in the future too.

What do the Tech Fix team do?

The Tech Fix team will be focused on issues where something is broken or isn’t working as it should be. This covers everything from a broken PC or faulty software, through to a more serious system outage. With dedicated resource assigned to these issues, we can match the skillsets of our engineers to the issues raised better than ever before, resulting in quicker fixes for our customers.

 

Phone system changes

To make it easy to get through to the right team, the only change we’ve made is on our phone system. Now you’ll be prompted to select either the Tech Fix or Tech How team when you call in. If you’re not 100% sure which team would be best to help you, don’t worry as both teams will still be able to assist and if required pass you through to the right team to get your issue resolved as quickly as possible. Any tickets logged by email or via our Customer Portal will be automatically assigned as they reach us, so you can continue to log these in the normal way.

Upholstery experts upgrade their IT system to increase efficiency after period of growth

Scunthorpe based furniture manufacturers, Lebus Upholstery, have made a significant investment in their internal IT systems in order to increase staff efficiency and manage their recent growth, as well as preparing for the future.

Lebus Upholstery provide furniture to some of the biggest names in the industry as well as hundreds of other independent retailers across the UK & Ireland, they have continued to grow their business throughout the pandemic despite the obvious challenges.

Time For Change

In early 2021 it was identified that a substantial change to the company’s IT infrastructure was required in order to help staff work more efficiently and to cope with the increase in business that Lebus were seeing.

As a result, Ethan Bettany, IT Manager at Lebus, joined the business in March 2021 and knew that updating the IT infrastructure was going to be one of his first major jobs. Working with local IT provider, HBP Systems, Lebus Upholstery carried out a full review of their existing IT system before replacing all networking equipment, servers, and providing Wi-Fi across the 250,000sqft site.

“Like many businesses we were making do with what we had, but it wasn’t helping the business in any way, especially with the growth that we’ve experienced in recent years. Staff were getting frustrated with a system that was becoming slow and unreliable, and if you leave things like that for too long then it can affect customer service throughout the business.”

“I’d worked with HBP in the past, so I knew what they were capable of doing everything we needed, so it was just a case of getting the ball rolling with them and providing an IT network that was capable of managing everything the business needs.”

Darren Jacklin, Business Development Director at HBP Systems, was heavily involved in the project and praised the way in which Lebus have approached their IT strategy.

“Ethan and his team completely understand what a good IT system can do for a business. It’s much more than just putting PCs on desks, it’s about protecting the business from threats as well as enabling staff to work quick and efficiently, wherever they are.”

The IT system was completed in early 2022 and has provided an increased level of security, more robust backups and, of course, a faster system for staff to use.

“It’s been a busy few months at Lebus,” explained Ethan, “but I’m delighted with the outcome of what we’ve done. Not only have we resolved the issues related to staff downtime that we experienced, we’ve also significantly enhanced our levels of cyber security, put in multiple levels of redundancy in the network to prevent it going down and, ultimately, made it easier for our staff to carry out their work from both in the office, and at home.”

“The business is now in a much better place than when we started this project and I’m certain it will stand us in good stead for the future.
